- Introduction and The Dry-Hire Model
Wormsley Estate Limited (collectively, “Wormsley”, “we”, “our”, or “us”) operate a 2,700-acre private estate. We offer our locations and facilities—including our grounds—primarily on a “dry-hire” basis for private events, meetings, conferences, and weddings.
These terms outline the operational and legal boundaries for corporate clients and event organisers. Under a dry-hire agreement, Wormsley provides the physical venue and baseline estate management, while the corporate client is fully responsible for the, insurance, risk assessment, planning, production, catering, and management of the event and its attendees.
- Health, Safety, and Compliance
The safety of all visitors, staff, and contractors is paramount. Corporate clients and their appointed event management companies must adhere to strict health and safety protocols:
- Risk Assessments and Method Statements (RAMS): Corporate clients must ensure that all third-party contractors (including staging, audio-visual, and marquee providers) submit comprehensive RAMS to the events team prior to the event.
- Site Inductions: All external production teams and contractors must adhere to Wormsley’s site rules, including strict speed limits on private estate roads and hazard awareness.
- Public Protection (Martyn’s Law): Depending on the scale of the event, corporate clients must collaborate with Wormsley management to establish clear emergency protocols (Evacuation, Invacuation/Lockdown, and Emergency Communication) to comply with UK counter-terrorism legislation.
- Estate Access and Security
Wormsley is a private, secure estate. We operate strict access control to protect our historic assets and ensure guest safety.
- Visitor Logging: The corporate hirer must provide accurate, finalised guest and contractor lists to the events team in advance. Unscheduled or unverified arrivals may be denied entry at the perimeter.
- Third-Party Security: If the corporate hirer employs external security personnel for entry screening, perimeter control, or crowd management, all such staff must hold valid and current Security Industry Authority (SIA) licences.
- CCTV: Corporate clients must inform their guests and contractors that CCTV operates across key areas of the Wormsley estate for security and incident management purposes.
- Vicarious Liability and Conduct
Under UK law, employer-sponsored events are considered an extension of the workplace.
- Client Liability: The corporate hirer assumes full vicarious liability for the safety, actions, and behaviour of their invited guests, delegates, and contracted staff during the hire period.
- Zero-Tolerance Policy: Wormsley operates a strict zero-tolerance policy toward unacceptable behaviour, illegal drug use, excessive intoxication, or abuse directed at Wormsley staff or suppliers. Any such actions will result in immediate eviction from the estate, with all associated liabilities and costs resting on the corporate client.
- Environmental and Estate Protection
Corporate hirers must respect the historic nature and natural environment of the 2,700-acre estate, in line with our Sustainability Policy.
- Waste Management: The client and their external caterers/production teams are responsible for implementing a robust waste management plan, ensuring waste is minimised, segregated, and responsibly removed from the estate.
- Asset Protection: Events must be planned and executed in a manner that prevents any damage to the grounds, local flora and fauna, and historical structures (such as the Library and Walled Garden).
- Data Privacy and Supply Chain Ethics
- Data Sharing: When providing guest and contractor lists for security and access purposes, the corporate client warrants that they have the lawful basis to share this personal data with Wormsley under the Data (Use and Access) Act (DUAA) and UK GDPR.
- Ethical Sourcing: We expect all corporate clients to utilise vetted supply chains and uphold ethical standards equivalent to our own, particularly regarding the UK Modern Slavery Act 2015, ensuring temporary event staff are treated fairly and legally.
- Final Contractual Agreement
This document serves as a high-level summary of our operational expectations. All corporate bookings are subject to the signing of a formal, bespoke Hire Agreement, which will detail specific commercial terms, venue capacities, access times, and insurance requirements.
